Hotel rooms in various price categories have been reserved for the 36th European Congress of Cytology in Istanbul. The prices presented below are only an indication for standard rooms.

Room rates

All prices are quoted in Euro per room per night, inclusive of breakfast, local VAT and service.

Payment in other currencies will not be accepted.

The housing agency will make the hotel reservation only upon receipt of the deposit. Full payment of the hotel reservation is required on or before 31 March 2011.

Group accommodation

Reservation
To reserve your room, please fill in the hotel reservation form. The reservation will be confirmed on a first come, first served basis.

Figür Congress Services, the housing agency, will try to meet all your accommodation requests. However, the housing agency reserves the right to make your hotel reservation at the best available alternative should your preferred hotel category be fully booked.

Rooms are subject to availability: the deadline for guaranteed hotel reservation was  31 March 2011.

Payment
In order to guarantee your hotel reservation, a deposit equivalent to the cost of one night at your first-choice hotel is required when submitting the hotel reservation form,
payable by credit card or bank transfer. Regretfully, bank drafts and cheques will not be accepted.

The housing agency will send the invoice for the remaining balance by this date. If full payment is not received in due time, the housing agency reserves the right to charge your credit card accordingly. Payment after the congress is not possible.

In case of bank transfer a valid credit card number must be communicated as well when making your reservation request in order to guarantee and secure your reservation. Please ensure that your credit card will still be valid at the time of the congress.

Credit card
Visa, Eurocard and MasterCard are the only credit cards accepted. Please enter all relevant information on the hotel reservation form. It is also imperative that the credit cardholder’s name is clearly mentioned if it differs from the registrant’s name.

Bank transfer
Bank fees are the sole responsibility of the registrant and should be paid in addition to the hotel booking costs. The bank transfer must clearly state the name of the congress and the name of the participant, as unidentified bank transfers cannot be processed. If payment is made for more than one person or by a company, please make sure that all names are properly indicated.

Confirmation

Within one week of receipt of your reservation form and hotel deposit, you will receive a confirmation of your hotel reservation by e-mail, including the name and address of your hotel and the costs per night. If you have not received a confirmation one week after payment of your hotel deposit, please contact the housing agency at ecc2011@figur.net or by phone +90 212 381 46 43

Changes, cancellation and no-shows

Any changes or cancellations of hotel reservations must be communicated to Figür Congress Services in writing, either by ecc2011@figur.net or by fax at +90 212 258 60 78. They will be subject to the following conditions:

• Name changes in hotel reservations notified in writing before 31 March 2011 can be made free of charge. Any name changes on or after 31 March 2011 will be subject to an administrative fee of Euro 35. However, changes to the invoice or any other changes cannot be accepted.
• For cancellations after 15 February 2011 until 31 March 2011, the one-night deposit is non-refundable
• For cancellations received after 31 March 2011 or no shows, the full stay will be charged

All refunds will be made after the congress.
